Adult Screening Process

Before any volunteer can work directly with girls, information about girls, money, OR DRIVE with Girl Scouts (other then their own daughter) in their vehicles, they must have completed the adult screening process.
Although our council will be moving towards a standard system where all volunteers will be fingerprinted, currently you can choose to be screened in one of two ways depending on your area. Please answer the questions below to determine the screening process you should follow:

Adult Screening Process
For Volunteers in Santa Clara County
Volunteers who live or work with girls in Santa Clara County must provide finger print clearance. Please follow these steps to be screened:
- Download the Adult Screening Packet for Santa Clara County
- Complete the Volunteer Application Form (inside the Adult Screening Packet)
- Provide a fingerprint clearance. Please click here for more information about fingerprinting.
- Fax or mail the volunteer application form and your completed fingerprint clearance to:

Please be aware that we cannot accept previous fingerprint clearances from other agencies (in accordance with California law). You must be fingerprinted specifically for Girl Scouts.

Adult Screening Process
For Volunteers outside of Santa Clara County
Elective Fingerprinting Option
We plan to implement fingerprinting throughout the council as we are able to purchase the needed machinery. In the mean time however, volunteers outside of Santa Clara County who would prefer to be fingerprinted, rather than obtaining three personal references can choose to be fingerprinted. Please follow these steps to be screened:
- Download the Adult Screening Packet (for those outside of Santa Clara County)
- Complete the Volunteer Application Form (inside the Adult Screening Packet)
- Download one of the following lists of agencies who provide LiveScan fingerprinting in your area. This list includes location, cost and contact information.
LiveScan fingerprinting agencies in the North Coast area
LiveScan fingerprinting agencies in the North Central area
LiveScan fingerprinting agencies in Alameda, Contra Costa, Marin, San Francisco, and San Mateo Counties - Choose a convenient agency and call to make an appointment or verify hours. You will be responsible for any fees charged, the council cannot reimburse you for this expense.
- Download the LiveScan application form, complete it, and bring it with you to your fingerprinting appointment. The LiveScan agency will mark the application completed at your appointment.
- Fax or mail the completed and certified LiveScan application and the completed Volunteer Application Form to:

If you do not receive approval notification within ten business days after submitting your paperwork, please contact the Adult Screening Specialist to check on your status: (408) 287-4170 ext. 273 or AdultScreening@GirlScoutsNorCal.org.

Adult Screening Process
For Volunteers in all Counties except Santa Clara County
Personal Reference Option
Volunteers who DO NOT live, or work with girls in Santa Clara County: If you choose not to be screened by being fingerprinted, you must obtain three personal references as part of your screening process. Follow these steps to be screened using the three personal reference option:
- Download the Adult Screening Packet (for those outside of Santa Clara County)
- Complete the Volunteer Application Form (inside the Adult Screening Packet)
- Fax or mail the Volunteer Application Form to:

Fax: (408) 287-8025 - Contact three (3) trusted acquaintances to complete your Volunteer Reference Inquiry Forms. (inside the Adult Screening Packet). References must be completed by a person who is over 18 and not related to you.
- Have your references mail or fax the Volunteer Reference Inquiry forms directly to the council’s San Jose office (see above, also on the form itself). Be sure your references use exactly the same name that is on your Volunteer Application Form.
- Check to make sure your references have mailed/faxed the volunteer reference inquiry forms to the address above.
- If you will be driving girls other than your daughter, you must also submit a Troop Driver Form to your troop leader. Click here for Troop Driver Information.
Troop Driver Information
The Troop Driver Form is not required for completion of the adult screening process, but it is required that it be retained by the troop/group leader if you will drive girls other than your daughter.
NOTE TO RETURNING VOLUNTEERS: The driver form is no longer in the Adult Screening Packet. Since this form was not supposed to be turned into the council, and often was by mistake, this form is now separate from the packet and can be downloaded below. Troop leaders may still wish to have parents fill out driver forms at the same time as screening forms.
To become an approved troop driver:
- Download the Troop Driver Form
- Complete the Troop Driver Form
- Return the Troop Driver Form to your troop/group leader.
- A copy of this form should be retained by the Troop/Group Leader and reviewed/updated on an ongoing basis to verify that the Driver’s License and Insurance information remains current and accurate whenever the volunteer will drive with Girl Scouts in her/his vehicle.
Name and/or address changes

Please notify the council registrar and/or the Adult Development Director of any changes so that your file can be updated. This also means that, should you begin using a hyphenated last name or change your last name, it is necessary to notify the council. All paperwork turned in should reflect exactly the same first and last names and addresses.
Girl Scout Membership
Girl Scout membership registration is not mandatory unless the volunteer will work directly with: girls (or drive them), information about girls, or money.
Although it is not required, it is recommended that all adults who will participate in any meetings or activities be registered so that they are automatically covered with the Girl Scout Activity Accident Insurance for the entire year. If a volunteer is NOT REGISTERED, the troop/group MUST purchase additional insurance for each event at which they volunteer.
